Viewing the app insights

Overview

The App Insights in Spendflo provides a centralized dashboard to view and manage all applications in use across your organization. With a focus on product usage and license efficiency, App Insights enables teams to track how effectively each application is utilized, monitor spending, and analyze user engagement levels (categorized as High, Medium, Low, or None).

Product usage is a key metric that gauges the extent to which a SaaS product is utilized within the organization. It also identifies users who haven't logged into a product for an extended period, allowing IT admins to potentially remove their licenses and achieve cost savings. Additionally, low usage of a SaaS product indicates that its removal won't significantly impact anyone, making it a viable candidate for sun-setting.

This visibility allows organizations to make data-driven decisions about renewals, reallocations, and budget optimization. App Insights helps ensure that licenses are correctly aligned with actual user needs, promoting cost efficiency and preventing overspending on underutilized software.

Prerequisites

To access app insights, set up the following:

  1. SSO Integration: Spendflo integrates with various SSO providers, such as Okta and Google Workspace, allowing you to view usage details across your tech stack. A full list of available integrations and setup guides is available [here].

  2. Browser Extension Setup: Here’s why the Browser extension is recommended alongside SSO integration:

    1. Support for Non-SSO Apps: While SSO providers cover many applications, some apps only allow access via login credentials. The Browser extension captures usage data for these apps.

    2. Enhanced App Insights: SSO data shows who accessed what, but it doesn’t include the user’s last login date and time (Note: This is available only for certain IdP providers, like Azure). The Browser extension complements SSO data, capturing last access dates, helping track Monthly Active Users, and providing actionable insights based on app usage.

Manage the app insights

Step 1. Go to the Spendflo’s Intake to Procure platform, navigate to the “Insights” module and select “Apps” from the dropdown.

Step 2. To get started for the first time with the apps insight management within the platform, click on the CTA “+ Connect Identity Provider” on the page.

For specific identity provider integrations, follow the steps from the following help documentations:

  3. Onelogin Usage Integration

  4. Generic SAML 2.0 (Login) Integration

  5. Browser Extension

Step 3. Once the integrations is complete, a listing of all the apps discovered via the integration are available to view. For understanding the app insights listing table, click here.

Step 4. Next, click on any app to access detailed information about it.
