In specific scenarios, our system may encounter challenges in identifying and associating a transaction with a particular app. This can result from discrepancies in transaction descriptions or inaccuracies in the vendor name formatting. To streamline and automate transaction mapping to relevant products, our platform offers a valuable feature known as Custom Mapping Rules. These rules enable the seamless population of the Spend page on Spendflo.
Our recent update introduces more dynamic conditions and operators, allowing you to create rules with greater flexibility. Once you have set up these rules, similar transactions will automatically map to specific products, making the process of discovering products from transactions even more straightforward.
You can easily create these Custom Mapping Rules through the designated section available on the Transactions page. In the following discussion, we will delve into the processes involved in monitoring, managing, and removing these mapping rules to enhance the efficiency and accuracy of the transaction mapping system.
Creating Your Custom Rules
1. Access Rule Creation: Head to the rule creation page in Spendflo by going to Settings -> Transations -> Custom Mapping Rules & click on Add a Rule.
2. Define Your Rule Conditions: You get to define conditions based on transaction descriptions or vendor names.
3. Create Your Rule: Create a rule by selecting the field (description or vendor), specifying the condition (starts with, contains, is exactly, or ends with), setting the value, defining the action (assign), and confirming the priority.
4. See Your Rule in Action: The rule will provide a preview of similar transactions. Once you confirm, the rule is executed, and future transactions meeting the specified conditions will automatically be marked as recognized.
Understanding Rule Priorities
Understanding the concept of rule priorities is crucial for effective execution. Priorities determine the order in which rules are executed, influencing how transactions are mapped.
Order of Execution:
- Priority decreases in ascending order of the priority number. For instance, rule number 2 has higher priority over number 3.
- Assign a higher priority to rules for more specific conditions. Your specific rules take precedence over generic ones.
Example Scenario: Consider mapping transactions to "linkedin sales navigator" and "linkedin." Prioritize the rule for "linkedin sales navigator" (as rule number 2) over the generic "linkedin" rule (as a rule number 3) for more accurate mapping.
View your existing mapping rules
Click the Custom Mapping rule icon on the top right. You will see a list of all the existing mappings available on the platform.
All your custom rules are conveniently displayed in a dedicated table for easy management. You can create up to 500 rules.
Edit or delete the existing rules
- Click on the downward arrow to open the menu
- To delete a rule, click Delete
- To edit a mapping click on Edit
- A new window will appear to allow you to edit the priority of the rule
With the ability for you to create and manage custom rules, Spendflo puts you in the driver's seat to significantly improve product discovery from transactions. The enhanced rule engine provides a dynamic and efficient way for you to map transactions to products automatically.
