Overview

Phases in a workflow are groups of tasks bundled together to represent distinct steps within the workflow. This provides a better representation of the tasks present within each phase.

Each phase has customizable names based on the functions and tasks involved. For example, multiple pre-approvals (procurement, finance, department head, approval manager, etc.) can be bundled into a 'Pre-Approval' phase. Similarly, each phase can be named exclusively based on the tasks defined within the phase.

Every workflow within Spendflo comes with two mandatory phases: Intake and Completion.


However, the default phases can also be edited. Admins can customize the phases based on the organization’s specific needs. They can add, delete, or rename phases to better suit their unique processes and requirements.

Each task within the phase must be completed before moving to the consequent phase, ensuring a seamless transition to achieve the end goal. The following are some of the characteristics of workflow phases.

Task distinction and grouping

Each phase is represented by a distinct name, process structure, and tasks, with some common examples including 'Intake,' 'Approval,' 'Execution,' and 'Completion.' These stages help segment the workflow into manageable parts.

Workflow entry and exit criteria

Phases have custom entry and exit criteria and conditions that logically align with the tasks. This is defined so the workflow can proceed to the consequent phase, ensuring that all necessary actions are completed at each stage.
